Hey AI Productivity Explorer,

Last week, I showed you how to master the art of capturing everything in your meetings with AI with no scribbling, no missed details, just crystal-clear notes and highlights.

Feels like a win, doesn’t it?

But notes alone won’t move the needle. They’re just words on your digital screen. The real magic happens when those notes turn into action, i.e., tasks assigned, deadlines set, and progress tracked. Without this next step, all those brilliant meeting moments risk being buried in a file no one ever opens again.

That’s where this week’s Part 2 lesson comes in.

The thing is follow-ups are the pain in the back of even the best teams. I’ve led global projects where a single workshop generated over 100 follow-ups, scattered across a dozen global teams spanning 5 countries and 3 continents.

Yeah, let that sink in for a moment.

It’s not that people don’t want to take action it’s that life gets busy, priorities shift, and without a system in place, those action items vanish into the ether.

But what if you didn’t have to chase after follow-ups or manually assign tasks anymore?

What if your AI tools could not only take notes but seamlessly transform them into action items, automatically organized in a system like Asana, complete with due dates and responsibilities?

In Part 2 of this masterclass, we’re diving deep into the next level of automation:

  • How to use Read AI and Asana to turn meeting notes into actionable tasks: A step-by-step guide to creating templates, automation, and workflows that work for your team.

  • Best practices to blend AI and human judgment: We will tackle common objections against using AI at work and how to overcome them.

By the end of this post, you’ll have a bulletproof system for follow-ups, turning every meeting into measurable progress.

Ready to stop letting follow-ups fall through the cracks?

Let’s make it happen.

Step 3: Automating Task Creation with Asana

(Note: Steps 1 and 2 are available in the previous newsletter post)

Taking notes is one thing, but turning them into action is where transformation happens.

Too often, great ideas and clear next steps from meetings get lost in a mess of emails, sticky notes, or someone’s forgotten notebook.

Trust me, I’ve tried it all. From the slickest note-taking apps on the iPad Air paired with the Apple Pencil to fancy notebooks that promised to spark creativity, to half a dozen versions of daily journals from Amazon, and let’s not forget the classic yellow legal pads. You name it, I’ve tested it.

I still have 15 year old notes collecting digital dust on my first-gen iPad, waiting for me to finish them. (Yep, I’m that early adopter.)

With tools like Asana, you can bridge the gap between insight and execution and when you pair it with Read AI, it becomes actionable.

Let me be clear. I am not associated with Asana or promoting their products.

Whether you use Basecamp, Jira, Trello, Monday.com, or ClickUp, the principles are the same. You need a platform that helps you track tasks, set deadlines, and keep everyone accountable and more importantly it integrates with Read AI using Zapier or Make.

I like Asana because of its simplicity.

I remember a global project I was running a few years ago. Each team used a different tool i.e. Jira for development, Basecamp for creative, and good old Excel spreadsheets for some regional projects. It was a nightmare to manage.

When I introduced Asana to the project, everything changed. We brought everyone onto a single platform. Suddenly, tasks were visible, deadlines were clear, and updates were centralized. It saved us hours every week, reduced missed deadlines, and, frankly, kept me sane.

How to Turn Notes into Action

Once your meeting notes are ready in Read AI, transforming them into tasks depends on how you integrate them. The integration helps bring your notes to life as actionable tasks, fully assigned, prioritized, and ready to execute.

No uploading or manual copy/paste is required!

Let’s walk through how this workflow is set up.

I’ve created a quick screenflow video that shows you.

  • How to connect Read AI with Asana.

  • How to customize workflows for automatic task creation.

  • A live demo of tasks flowing seamlessly from meeting notes into Asana.
